Do I need to schedule a tour, or can I just drop in and browse?
We do require that all tours are scheduled in advance, as we may have other events goingon or may not be on property. We can’t wait to hear your story and what you envision for your wedding!
How Do we secure our preferred date?
With the signed contract and booking fee paid, which is 50% of your total rental amount. Payments are broken down into 3 scheduled payments, including your booking fee.
How many guests can you accommodate?
The most guests we can accommodate would be 200, but that is also dependent on thesetup of the room and if a dance floor area is required. There is an option to also connect a tent (separate rental) to the main hall area to accommodate guests for dining and use the inside hall space for dancing, lounge area, bar, etc…
How many hours are included with our booking?
Our couples have access to The Legacy at Willow Pond between 8:00 am – 11:00 pm. (Up to 15 hours!) All events must end by 10:00 pm, and goodbyes and cleanup must be finished by 11:00 pm. We provide up to 6 hours for event time. For example, if your wedding ceremony begins at 4:00 pm, then it will end at 10:00 pm. If your ceremony begins at noon, it will end at 6:00 pm.
What is the Creative Professional Policy for The Legacy at Willow Pond?
Other than choosing a caterer from our Select Full Service Caterer's list, you may bring in any other creative professional that you would like. Our Caterer list includes a wide range of food and service types, as well as price points. All professionals will need to be licensed and insured. We do provide booked clients with an extensive list of our preferred creative professionals, in all categories, that we have worked with for years and highly recommend, but you are not required to use them.
How close is the nearest lodging?
There is a full-service hotel, that is 10 miles, directly out of downtown to our property. We have also secured special pricing for our couples and their guests at this hotel and can assist you in setting up a room block as well, to save you the time! In addition, there is a lovely historic bed and breakfast located 9 miles away in downtown Suffolk. There are also several other hotels about 11 miles away. We include all this information on our Creative Professionals list.
When can we do a rehearsal?
Typically, the venue will be rented the day before your event. Because of this, you will need to plan on doing your rehearsal off-site. We can confirm a rehearsal time, based on availability on our property, at our 30-day final Walk-through meeting, and we can schedule it then.
Do I need to hire a Wedding Planner/Coordinator?
First, we highly recommend hiring a wedding planner as this takes so much stress off the two of you and saves you hundreds of hours, giving you time to relax and enjoy your engagement! With that said, we do not require a wedding planner, but we do require that you have at least a Coordinator that will start a minimum of 6 weeks prior to your wedding date. This assures that you, your family and all guests can relax and celebrate your day with you without having to create timelines, set-up/tear-down and watch the clock! Everyone can be fully present to enjoy your day.
What if rain is forecasted for our wedding day?
First, we are always praying for no rain on our couple’s wedding day! Unfortunately, we do not have control of that. We have you covered…literally! We have a few options, the first being the large Veranda we have overlooking the pond and fountain. Depending on your guest count and the winds, this would be the ideal option. The other option is to have us set up a few rows of chairs for reserved guests (parents, grandparents, etc.) while the remaining guests would be seated at their table for dinner. This creates more time for celebrating and less time for flipping the room! A backup plan will need to be finalized by the 30-day walk-through, so that we are all prepared, if necessary! Depending upon the complexity of the ceremony and reception set-up, we will also plan for what time the final call would need to be made, to move to the backup plan.
